Job Description

***We are looking for an Admin Support Officer to work with one of our public sector clients***

Based at CV1 2WT (Some remote working)

This a short term 5 month temporary position (with a possibility of extension) but one in which you would be able to gain valuable exposure/experience working within the Public Sector.

37 ½ hours per week between 8.30am - 5.30pm Mon - Fri (Can be flexible)

Pay rate £10.29 per hour rising to £11.53 after 12 weeks

DUTIES AND RESPONSIBLITIES

" To support the Corporate Projects and Programme managers ( Quality and Compliance Unit) with the creation, preparation or maintenance of reports, submissions and other confidential documents as required.

" Preparation of letters, reports, power point presentations and other items in the NHSCFA house style, portraying a professional image of the organisation at all times.

" To be the main point of contact for telephone queries for the Quality and Compliance Team and Corporate Projects in relation to the 2021/22 business plan and strategi objectives and to take messages and forward queries as appropriate and in a timely manner.

" Organise steering groups / meetings / events using electronic diaries, including seeking the availability of attendees, arranging travel, accommodation, booking of venues and arranging of room facilities including layout and catering.

" Produce and distribute meeting documents including agendas and minutes.

" Work under general direction, using own initiative, within a clear framework of accountability.

" To develop and maintain databases, spreadsheets and schedules to support the work of the team, including creating and maintaining systems for the effective and accurate collation of information.

" To support in national benchmarking exercises. This will include requesting, collating and accurately documenting specified information. In addition, support in the analysis of information received may be requested under the direction of the Senior Quality and Compliance Inspector and Quality and Compliance Lead.

" Where requests for information have been submitted, the post holder will monitor the receipt of the information and follow up outstanding requests in a timely manner as required.

" To be able to respond to the team's needs in relation to problem solving of workloads and IT issues and at short notice if required.

" Assess and resolve day-to-day issues as they arise to ensure minimum disruption to the smooth running of the Quality and Compliance Team.

" To create and maintain manual and electronic filing systems.

" To work under own initiative and act on behalf of senior managers as required.

" To act in a professional, efficient and confidential manner when responding to urgent or short notice requests and / or enquiries.

" Ensure that all work is consistently delivered within the quality time targets as outlined in the standards and guidance documents for anti-fraud and security management.

" To support routes of communication internally and externally within NHSCFA and with outside agencies.

" Ordering equipment and business consumables ensuring cost effectiveness and value for money.

" To ensure prompt circulation of documents to the team and externally.

" To actively engage in and support the work undertaken in the Quality and Compliance Team at every opportunity.

" To prepare purchase orders, invoices and accurate financial records for authorisation.

" Responsibility for the accurate and timely recording, distribution and management of all incoming and outgoing correspondence to the team via the numerous inboxes.

" Prioritise and adjust own workload to take into account competing priorities.

" On occasions, work outside normal office hours and / or sometimes for hours in excess of a standard working day.

" On some occasions travel across the country and stay overnight.

" To undertake any other duties that may be required to meet
