Job Description

Brook Street are proud to Advertise a role at the MOD in Upavon, this is a full time 6 month contract. The pay rate is £10.35 per hour working Monday to Friday.

The Temporary Worker will provide administrative support. He or she will follow set procedures and will exercise some independent judgment in carrying out instructions, under general supervision. Examples of work performed will include but not be restricted to: Collating and analysing fairly complex information or data, submitting results in a written report Overseeing administrative procedures and processes Assisting with budget preparation and control, if required Acting as a administrative liaison with internal and / or external sources Preparing routine correspondence Typical qualifications and experience: Five GCSEs at Grade C or above or equivalent (including English Language or equivalent) NVQ Business Administration Level 2 (or suitable clerical experience) Administrative experience with a good knowledge of and experience in using Microsoft Office Good communication skills, both oral and written

The Hub for all incoming & outgoing correspondence, responsible for prompt & accurate distribution of all correspondence, whether fax, post or e-mail, with an emphasis on urgent/high priority items; correspondence received for ongoing cases must be identified, assigned to the correct file & passed to the relevant Case Team.

Responsible for opening & allocating new Legal Aid (LA) cases to Case Teams (av 100-150 per month) ensuring parity of case load among the Teams, with special attention paid when allocating â??multi-handerâ?? (3+ co-accused) cases, & identifying 'linkageâ?? with previous or ongoing cases (i.e. where the applicant is/was accused in other cases). Includes creating new e-folders, database records & manual files.

Prepare outgoing mail on a daily basis and despatch to Upavon Post Room, collect incoming mail, including Special and Recorded Deliveries as necessary;

Also responsible for a variety of Office Management duties, including but not limited to:

Routine photocopying & other ad hoc duties allocated by management & Case Teams.

- Management of Group mailbox;

- Preparation and circulation of weekly circulation, and monthly float, files;

- Maintain and update Military Court Centre Assize lists;

- Monitoring and ordering stationery, fax and photocopier use and maintenance;

- Update spreadsheets to record/monitor financial spend;

- Deal with routine telephone enquiries, or direct call to appropriate colleague as necessary;

Process all incoming correspondence (faxes, emails, post) e.g. applications for legal aid and associated documentation; requests for authority to incur costs; PACE bills and Service Police Station returns etc.
