Job Description

Brook Street are proud to advertise a role at the MOD in Andover, this is a 3 month temporary assignment working full time hours Monday to Friday 37 hours a week. The pay rate is £9.94 per hour

The Temporary Worker will provide administrative support. He or she will follow set procedures and will exercise some independent judgment in carrying out instructions, under general supervision. Examples of work performed will include but not be restricted to:

Collating and analysing fairly complex information or data, submitting results in a written report

Overseeing administrative procedures and processes

Assisting with budget preparation and control, if required

Acting as a administrative liaison with internal and / or external sources

Preparing routine correspondence



Typical qualifications and experience:

Five GCSEs at Grade C or above or equivalent (including English Language or equivalent)

NVQ Business Administration Level 2 (or suitable clerical experience)

Administrative experience with a good knowledge of and experience in using Microsoft Office

Good communication skills, both oral and written



JOB DESCRIPTION:

The main tasks of the EStrat Hd PA include:



Providing administrative support to Hd S&P Est Strat, to include:

? Managing the electronic diary of Hd S&P Est Strat and monitoring email box for Hd Est Strat and disseminating emails ensuring urgent requests are actioned.

? Keeping on top of the electronic house-keeping for Hd S&P Est Strat and owning email accounts.

? Ensuring all emails have the correct document naming and Government Security Classification conventions.

? Filtering emails to minimise the size of inboxes. Moving emails and documents to the relevant and accessible storage areas; One Drive, Group File Store, Office 365 and filing.

? Arranging travel for Hd S&P Est Strat and block bookings for team as required.Give examples of main tasks}



Providing administrative support to Hd S&P Est Strat and wider S&P team with flow of documentation and enquiries by:

? Liaising with team members within S&P, deputies for Hd S&P Est Strat, SMEs and wider staff to prioritise actions and responses.

? Ensuring Hd S&P Est Strat has an awareness of what has been disseminated to/by her deputies and that the flow of information to and from Hd S&P Est Strat is not affected by her absence whilst out of the office.

? Dealing with telephone/skype calls, one-to-one enquiries and emails on behalf of Hd S&P Est Strat in a polite and professional manner, setting realistic timescales for responses.

? POC to make S&P/Army HQ meeting room bookings as required

? Actioning queries appropriate to level of responsibility.



Providing adhoc administrative cover for Dir S&P PA if required to support Dir S&P



Assisting S&P Est Strat Business Manager and providing administrative support to S&P Est Strat Team including:

? Acting as POC for stationery orders including supply of printing paper.

? Acting as POC for office equipment requirements/repairs and use of eVTC equipment.

? Ensuring office fire muster list for Andover Site is kept up to date and displayed and team contact lists are kept up to date.

? Acting as deputy program officer for all S&P Est Strat Team events.



Taking on the roles of Office 365 inc Sharepoint and Smarter Ways of Working Champion:

? Keep up to date on any training/ guidance.

? Attend meetings or training to do with the subjects.

? Use training to assist Managers & wider DIO colleagues where possible with their IT/ phones or equipment related queries.



KEY TASKS & DELIVERABLES:

Provide administrative support:

? Manage electronic diary, monitor email box and disseminate emails.

? Filter emails to minimise the size of inboxes. Arrange travel for 1*.



ADDITIONAL REQUIREMENTS:

Excellent communication and organisational skills and the ability to use their own initiative. Excellent knowledge of using Microsoft Office 365.



Occasional requirement to visit other Defence Estate sites.
