Job Description

Brook Street are looking for a temp to provide administrative support to a government client's Major Projects and Programme Delivery (MPPD) team consisting of Project Managers (PM), Project Executives (PE), Project Team Managers (PTM) , Programme Specialist (PS) and Delivery Manager (DM) based in the Wessex Region.

Manage day-to-day aspects of the Flood and Costal Risk Management (FCRM) project delivery under direction of the nominated Project Team Manager including but not exclusively the following:

Running monthly Single operating Programme (SOP) reports showing financial information to enable Project Managers to update project costs. Investigate anomalies in project finance using SOP reports in conjunction with the Contract Support Officer (CSO)

Manage and administer the year end accruals process.

Order PPE and IT equipment for new starters and be a focal point for initial queries.

Adhoc requests from Project Managers to support generation of briefing notes, production of letters, assist with project literature and batch mail outs using the dot.gov mailing system.

Undertake utility service searches for projects.

Collate the comments from Project Managers for the Local Levy quarterly Committee meetings

Manage simple contract in the contract Management system, Fastdraft

Assist Project Managers with document uploads to Asite and the IDP following BIM principles

Assist Project Managers with administration support with Projects Online and MS Projects

Assist the Project Team Managers with team administration including organising team meetings, team trips, environmental leave days and other adhoc requests

Book Hotels, train tickets and flights for Project Managers and Project Executives as required using the Trips system

Arrange for the delivery and collection of hire cars for team members

Manage the PCM Project Support inbox as part of a team, picking up adhoc requests that come through for your team and maintain the team distribution lists, keeping them up to date when team members change. Duties here also include, but not limited to, cascading information to teams from Project Team Managers and others, managing SW Hub

Cascade meetings and invites and organising other adhoc meeting set ups

Occasional cross working with the Devon, Cornwall and the Isles of Scilly team (DCIOS) undertaking the same function.

Various other adhoc requests from Project Managers, Project Executives, Project Team Managers and Programme

Specialist to support the delivery of the capital programme.

Typical Skills:
Good communication skills, both oral and written
Project Support experience
Team Working Skills
Proficient in using Microsoft Office especially MS Word, MS Teams and Excel
Being Flexible
The ability to coordinate the activities of others
Use your own initiative as well as working part of a team
Ability to develop and maintain good working relationships
An understanding of Health and Safety management is desirable
Administrative experience
Be passionate about the environment and have a willingness to learn about Flood and Coastal Erosion Risk Management Strategy (FCERM) and how the capital programme contributes to the strategy

Knowledge:
A basic understanding of project management and contract administration is desirable
Basic understanding of the role of the Environment Agency
Understanding of Building Information Modelling (BIM) is desirable

Education Requirements:
Educated to A-level or equivalent

The rate of pay for this role is £ 12.45, for a working from home as per government guidance where you'll be required to attend either the Bristol or Exeter office for training and/or meetings. All interviews will be contacted via Microsoft Teams.
