Job Description

I) General Administration
" Assist the Service by providing comprehensive administrative support in a busy work environment
" Undertake a range of tasks and duties using a variety of office software
" Manage incoming mail, allocating as appropriate and prepare and post outgoing Mail
" Manage office stationery orders to ensure an adequate supply of materials and consumables
" Manage the processing of credit cards and invoices if required.
" Attend and minute meetings as required
" Support meeting and training co-ordination through arranging room bookings, refreshments and agendas as required
" Undertake travel bookings for Staff and Managers, as required.

II) Systems Administration
" Input service user, family and outcomes information onto the relevant operating systems in an accurate and timely manner
" Liaise with workers to maintain accurate session monitoring, making amendments to the operating systems as required
" Use the company systems to provide information and monitoring for Team Leaders and Service Manager as required
" File service and customer documents in the appropriate systems in a timely manner to support operational delivery and governance
" Support system quality, compliance and integrity monitoring and actions to ensure accuracy and appropriateness of data

III) Service Administration
" Act as first point of contact for our service users and workers where appropriate
" Support Team Leaders and Service Manager with service administration; including worker communications, formatting of documents and reports and information gathering
" Support Service Co-ordinators and Service Managers in the chasing and filing of service recordings, contact logs and outcome and evaluation forms as required
" Respond to telephone calls and allocate as appropriate prioritising safeguarding calls at all times
" Ensure all written and verbal communication portrays a positive, professional and helpful image of the organisation.
" Take messages for staff, ensuring these are passed promptly
" Ensure all email communications to staff and external agencies are presented within the guidelines of the company's electronic communications policy


Additional Duties
o The post holder will be expected to demonstrate that the Company's Values are at the centre of all they do.
o The post holder will be expected to undertake training and development deemed necessary for the pursuance of the post.
o The post holder will be expected to reach a minimum basic standard of I.T. competence to be able to use Company electronic systems effectively.
o The post holder will be expected to ensure to comply with Equal Opportunities Policy and Procedure in all employment practices.
o The post holder will be expected to comply with the no smoking policy in place and ensure that Health and Safety is observed in the course of employment.


You Must have a DBS Certificate to present at point of interview.
