Job Description

Are you looking for an exciting opportunity to join a public sector client on a temporary basis?

We are currently looking to recruit a number of people to join the Ministry of Defence as an Admin Officer in Middle Wallop, Stockbridge.

The Temporary Worker will provide administrative support. He or she will follow set procedures and will exercise some independent judgement in carrying out instructions, under general supervision.

Examples of work performed will include but not be restricted to:
" Collating and analysing fairly complex information or data, submitting results in a written report
" Overseeing administrative procedures and processes
" Assisting with budget preparation and control, if required
" Acting as an administrative liaison with internal and / or external sources
" Preparing routine correspondence

Typical qualifications and experience:
" Five GCSEs at Grade C or above or equivalent (including English Language or equivalent)
" NVQ Business Administration Level 2 (or suitable clerical experience)
" Administrative experience with a good knowledge of and experience in using Microsoft Office
" Good communication skills, both oral and written

The Business Support Assistant position is in the Headquarters Army Air Corps, Middle Wallop. Providing essential business support to the staff of the Headquarters, primarily Colonel Army Air Corps and the Command Group.

Duties include:
" Correspondence management, scanning documents and maintaining records, both electronically and hard copies. Maintain the filing system within the Command Group. Prepare briefs, ensuring all required information is included. Update the AAC key appointments list, when changes occur and liaise with AAC units.
" Ensure the Visitors Book is available when VIPs visit the HQ AAC.
" Administer the Group Mailbox and maintain the weekly electronic diary for Colonel Army Air Corps, ensuring requests for meetings etc. are actioned.
" Report building faults to Central Management and update the centralised spread sheet.
" Assist the Data Protection Assistant, become familiar with the Breach Management Plan, GDPR and DPA 18.
" Arrange travel (including overseas) and accommodation for all visits to Regiments etc and liaise with the Military
" Transport Section, providing them with up to date driver requests etc. Liaise with APC Glasgow and RMA Sandhurst. Maintain contact with external personnel.
" Assist Head of Recruiting with the Pilot Selection Board, ensuring letters are produced and sent to personnel.
" Support the Regimental Headquarters in organising functions, contacting guests, issuing invitations and producing table plans, whilst also liaising with suppliers.
" Ensure Business Continuity is maintained within the Business Support Group during staff absences including covering the front office when required, this may include working longer hours on occasions. Collect the post from the mailroom and assist with covering other BSG Assts posts workload when the need arises.
" Carry out additional duties as identified by the Business Support Manager.
