We are seeking multi-skilled administrators who can provide support to senior managers and/or their teams with the following tasks: -
" Diary management, including liaising with internal and external contacts, producing papers for the following day and chasing briefings.
" Arranging and scheduling meetings with multiple internal and external contacts, working with other administrators to manage what can be complex meeting schedules.
" Managing shared mailboxes and allocating emails to colleagues and housekeeping the items in the inbox.
" Responsibility for records management, ensuring that the Bank`s electronic data management system is used appropriately to classify and store documents according to Bank policy. (Full training is provided for this).
" Preparing documents, letters, reports and presentations and/or provide help and advice to colleagues on how best to do this.
" Planning and arranging domestic and international travel and processing travel expenses.
" Supporting meetings through note/minute-taking and chasing up actions.
" Willingly cover for colleagues to provide effective support to other teams as required.
" Strong organisational, prioritisation and time management skills, with the ability to work in a structured way to a high standard against tight deadlines.
" Ability to manage multiple tasks and issues.
" High level of accuracy and a good attention to detail.
" The ability to work proactively, using own initiative and with minimal supervision.
" Excellent communication skills and the ability to liaise effectively with staff at all levels within and outside the Bank.
" Good computer/software skills, in particular Outlook.
" Competence in Word, Excel, and PowerPoint are all advantageous.
