Job Description

Brook Street is currently recruiting for a Temporary Programme Administrator for a minimum six month temporary role. The first 3 months will be paid at £9.28 per hour after that you will be paid at a higher rate of £11.20.

Working for the Directorate of Education and Quality (DEQ) the post holder will work as part of a team delivering administrative support across the national programme of Allied Health Professions (AHP).

The post holder will provide support to the SRO, Programme Lead, Programme Manager and Assistant Project Managers within the AHP Team to ensure that the AHP Programme is managed effectively. The AHP Programme is part of a wider group of programmes including Advanced Clinical Practice and there is an expectation that the teams work closely together.

The Programme Administrator will provide support to team members in developing and implementing key programmes and projects to enable a flexible, productive and affordable healthcare workforce that meets the needs of patients and changing care pathways and the values set out in the NHS Constitution. The post holder will ensure that efficient administrative support is provided to enable the team to function effectively.

The duties include:
o Building and maintaining constructive relationships with a broad range of internal and external stakeholders, ranging from administrative staff to senior management.
o Management of electronic diaries for the SRO, Programme Lead and Programme Manager including arranging and changing appointments, and making judgements in relation to the priority of these appointments as appropriate
o Provide secretariat support for meetings. This includes the production and distribution of agendas, minutes, paperwork, organising meetings (virtual and physical) and booking meeting resources.
o Arrange venues (or virtual environments) for events as necessary, and provide supporting information material as required, meeting and greeting of visitors, facilitating room layout etc
o Book and monitor travel and accommodation ensuring budgets are adhered to and best value for money achieved at all times. All invoices in relation to travel and subsistence are efficiently and effectively handled through the oracle based accounting system
o Ordering of requisitions in relation to the programme of working using the oracle based accounting system.
o Maintain effective electronic filing systems and order and maintain office resources.
o On a day to day basis you will be using IT systems and software programmes such as O365, SharePoint, Word, Excel & Outlook Microsoft Teams
