Job Description

Job title: Administrator Band 4
Contract: 12 months with possible extension
Location: hybrid working (mostly at home)
Hours: Monday to Friday 37 hours a week
Pay: £10.29 p/h

Job summary:

Member of the team responsible for the management of a portfolio of contracts or transformation programmes, and associated staff.

Duties:
o Taking telephone calls for others in the department when they are out and expected to use their initiative when dealing with phone calls and messages.
o Undertaking all administrative duties such as photocopying, faxing and sorting and prioritising mail and e-mail. Distributing as appropriate.
o Sorting and prioritising all incoming mail and e-mail, distributing as appropriate.
o Managing the electronic diary for the department, including arranging and changing appointments, prioritising these as appropriate.
o Ensure all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.
o Organising and planning events as directed, providing all necessary supporting in local materials.
o Supplying the relevant information required for financial management, supporting the head of department and teams by checking and sending invoices for payment.
o Responsible for ordering stationery and consumables for the department, ensuring they are kept securely.
o Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team
o Preparing agendas, taking actions and distributing notes of meetings including typing up of group discussions and interviews as necessary.
o Working together with other administrators/PA`s within the organisation to provide an effective network of communication including dealing with visitors to the base and being flexible to cover other administrators` general duties on the base.
o To carry out other appropriate delegated duties as required

What we are looking for:
- Educated to NVQ 4 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience
- Significant administrative experience including initiating and maintaining office systems

Necessary ID:
- In date Passport OR birth certificate paired with driving license/provisional
- 2x proof of address
- 1x proof of NI
