Job Description

We have a fantastic opportunity for a Policy and Communications Support Officer

The successful candidate will be responsible for:

Working with the Band 5 Information Manager and other administration staff to manage the Inbox for Freedom of Information, General Enquiries, Concerns and Complaints; this includes monitoring the inbox, logging and managing responses, uploading documentation to our filing system (CM9) for record keeping and other tasks as necessary to support the effective and efficient management of Enquiries.

Manage the Policy and Communications Contact Record (CR) database; to including maintaining the spreadsheet, allocating CR numbers, tracking and logging responses, including uploading to relevant CM9 file.

Provide general administration support across the Directorate to assist the effective delivery of the P&C Business Plan. This will include assistance to the Business Planning Manager and Director Personal Assistant (PA) to deal with corporate requests and reporting.

Support the Head of Policy to manage team 'products' such as Plan on a Page, Team Structure Chart, Policy Curriculum and CM9 file list.

Organise team and Directorate meetings, as advised, to include booking meeting rooms, greeting visitors, setting room up in advance, sending calendar invites and taking minutes / actions points.

Support Policy Advisors in their day to day work, including assistance to manage international engagements logistics.

Changing and improving - finding ways to improve systems and structures, identifying improvements and simplifying processes.
