Job Description

Brook Street Edinburgh is recruiting on behalf of a well established Chartered Surveying consultancy. .

Due to this organic growth there is an urgent requirement for an experienced Audio Typist/Administrator within their busy Edinburgh office. There will also be some Reception/Admin duties.

The successful candidate will be required to assist the Office Manager with general administration support and office duties and is expected to be well organised, able to show initiative and demonstrate good attention to detail. You will also need to be able to portray a professional image to visitors and telephone callers by dealing with them promptly and courteously.


The responsibilities associated with this position include but are not limited to the following:

" Answering telephone and directing calls as appropriate in a polite, courteous, friendly and professional manner
" Taking messages and passing on the appropriate information
" Receive and respond to email messages
" Greeting visitors and informing staff member(s) of arrival
" Dealing with deliveries incoming/outgoing
" Keeping the boardroom tidy and clean
" Keeping kitchen/tea prep areas clean and tidy and washing up
" Must have previous experience of audio typing
" Maintain own filing and assist surveyors with their filing
" Assist with project archiving and the general office archive filing
" Setting up new project numbers, digital folders, the project control file and mail manager link
" Provision of accurate and efficient word processing service for office in line with the practice style and formats
" Providing assistance with all aspects of report production (formatting of documents to practice style)
" Carry out occasional research as required
" Assisting the Practice Co-ordinator as required
" Work to appropriate office systems/procedures and quality system procedures as directed by Practice Co-ordinator
" Occasional banking of cheque payments

Work experience & skills

" Training will be provided
" Computer literate and familiar with the use of MS Office applications including MS Word and Excel.

Job Type: Full-time, Monday - Friday 9.00am - 5.30pm
