Job Description
***We are looking for a Business Support Assistant to work with one of our public sector clients***
Based at CV1 (Some remote working)
This a short term 4 month temporary position (with a possibility of extension) but one in which you would be able to gain valuable exposure/experience working within the Public Sector.
37 ½ hours per week between 9.00am - 5.00pm Mon - Fri
Pay rate £10.29 per hour rising to £11.53 after 12 weeks
DUTIES AND RESPONSIBLITIES
o Maintenance and updating of spreadsheets, including capturing and tracking delegate registration, attendance and non attendance per workshop
o Monitoring and actioning of queries form programme generic mailboxes o Sending out calendar invitations from Outlook shared calendars
o Forming agendas, capturing actions from meetings, sharing presentations
o Creation and management of MS Teams, channels and events
o Creation and management of MS forms to manage registration and post delivery activities for workshops including; sending joining links, pre work, and agenda to registered delegates, sending out slide sets once sessions completed
o Arrange team meetings
o Book venues, travel and accommodation
o Provide admin support for events and meetings (in person and online events)
We are looking for candidates with the following qualifications and experience;
o Educated to NVQ 4 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
o Significant administrative experience including initiating and maintaining office systems.
o Demonstrable experience in dealing with the public and dealing with sensitive and confidential information.
o Intermediate knowledge of Office 365 including Excel
o Ability to work at pace in a busy working environment and able to multi-task
o Strong team player with the ability to work effectively as part of a team
o Strong organisational skills and ability to prioritise work and manage stakeholder expectations o Strong verbal and written skills

The post holder is a key member of the team whose overarching goal is to enable, promote and support the effective use of data, information, knowledge and technology to improve, inform and support a portfolio of projects, services, and initiatives. Key Relationships (External and Internal) Liaise with Business Support Officers and Schedulers to co-ordinate workshops. Liaise with external delivery faculty to co-ordinate travel and accommodation requests. Liaise with events management organisation to organise venue searches.
