Job Description

National Probation Service (NPS) - Case Admin (Management Support), Band 2
Overview:
We've got a great opportunity for a full-time, temporary role within the Brighton Probation Service Office to join a fast-paced office, working as part of the admin team.
" Full-time (37 hours)
" Monday- Friday (9:00-17:00 - some flexibility on hours is possible)
" Start Date: ASAP
" Location - Brighton, with the possibility of some working from home
" Temporary Contract - 12 months (to be reviewed)
" Pay Rate: £9.56
The individual will provide a wide range of general admin support to the Business Manager and Senior Managers in the Public Protection Division. The role can be a blend of office and home working and may include occasional travel in region.
Skills needed: team working/remote working, a flexible and positive approach, good communication skills, strong IT skills - MS Office (Outlook, Excel, Word, Teams, OneNote), attention to detail, organisational skills.
Examples of work performed will include but not be restricted to:
" Developing admin processes
" Responsible for setting up and maintaining accurate information/records on approved databases
" Prepare, maintain and collate case and other records, files and management information, in accordance with the standards required.
" Receive and distribute information and communications in an appropriate manner, e.g. telephone, paper, e-mail.
" Act as single point of contact within unit for specialist area of work as required
" Where necessary, place orders/issue petty cash /vouchers/warrants for travel costs etc, maintaining appropriate records in line with local office financial procedures.
" Attend meetings as appropriate. Provide support to meetings as required including scheduling meetings, organising agenda, taking and, distributing notes/minutes and action points
" Organise the availability of appropriate equipment, materials, and facilities for activities relating to the management of cases.
" Maintain appropriate systems to ensure the effective use of general unit resources and make recommendations for improvement as necessary.
" Ensure all activities are conducted in accordance with Health and Safety policies and procedures, undertake equipment tests as required.
" Provide cover within the unit and to other units within the LDU and Division as appropriate, including reception.
" Carry out safeguarding children duties in accordance with the NPS statutory responsibilities and agency policies
" In line with NPS policies and procedures, the job holder must at all times demonstrate a commitment to equality and inclusion and an understanding of their relevance to the work they do.
" The post holder must adhere to all policies in respect of the sensitive/confidential nature of the information handled whilst working in this position.
