Job Title: Case Administrator - Probation Service (Band 2)
Location: Cardiff
Salary: £12.71
Hours: 37 hours per week with core hours including evenings and weekends as per business needs
TEMP - 3 months
Our Client, a reputable organisation within the Probation Service, is hiring for a dedicated and professional Case Administrator to join their team in Cardiff. This is a vital administrative role supporting operational teams within the Probation Service Directorate, ensuring smooth day-to-day functions and excellent service delivery.
What you'll be doing:
* Serving as the first point of contact for visitors, probationers, and callers, greeting them professionally face-to-face and via phone/email.
* Managing visitor logs, issuing passes, and coordinating security protocols to maintain a safe environment.
* Handling all building logistics, including mail, supplies, meeting room bookings, and event support.
* Supporting security and safety procedures, acting as key holder, monitoring CCTV, testing alarms, and assisting with evacuation procedures.
* Managing petty cash, travel warrants, and transportation of funds between sites.
* Assisting with case administration by updating files, producing documentation, and maintaining confidential records.
* Logging building faults, escalating issues, and supporting maintenance and repairs.
* Providing support during periods of absence for team members, including supporting safeguarding and risk assessments where trained.
What you'll bring:
* Proven ICT skills across Microsoft Office applications.
* Excellent verbal and written communication skills.
* Ability to handle sensitive information with discretion and professionalism.
* Strong organisational skills with attention to detail.
* Ability to work collaboratively and adapt to changing priorities.
Desired skills and experience:
* Experience working in criminal justice or high-pressure environments.
* Customer relations experience.
* Knowledge of health and safety procedures within a workplace.
Required education and qualifications:
* GCSEs (or equivalent) including Maths and English.
* IT qualification such as ECDL/CLAIT or comparable work experience demonstrating similar competency.
Additional information:
* All candidates will undergo security and identity checks before starting.
* External candidates will be on a 6-month probation period; internal candidates may also be subject to probation if not already completed.
