Job Description

Job title: Clerical Admin Assistant
Hours Monday to Friday 09:00- 17:00
Location: Gloucester
Hourly rate: £9.09 per hour, longer temp temporary contract (maternity cover)

My client is a well-known government organisation based in Gloucester who are looking to recruit a Clerical Admin Assistant.

Clerical Admin Assistant responsibilities:
" Sorting and distributing mail Photocopying, filing, posting or proof-reading data
" Answering telephone calls and relaying messages
" General and administrative support to Company Headquarters. Close support to senior manager and general duties for remainder of Company Headquarters during maternity absence

Key tasks:
" Collection of incoming mail from post room and onward delivery to recipients within the department, collation and dispatch of outgoing mail
" Preparation of department daily orders and dispatch to departments
" Update and maintain all arrivals from the department
" Maintain Personnel files and ensure courses are entered onto the internal system
" Maintain department stationery supplies. Indent for new supplies as required and manage department stationery account
" Be a point of contact for incoming queries, telephone calls and email traffic for the department
" Secretary to department level meetings including booking conference facilities, sending out agendas, and pre-meetings, note taking etc.
" Standing in as required for absent colleagues within the same broad job description

Other duties appropriate to the grade as directed by the line manager, travel maybe required for training days and an Induction to take place prior to starting work for the first time.


Clerical Admin Assistant desired skills and experience:

" IT skills, maintaining spreadsheets and have a working knowledge of Office 365 or similar
" Literary skills - must be able to communicate comprehensively via written or oral means
" A team player, able to work in a diverse and strong team
" Adept at learning and mastering the internal administrative IT system. (Extensive on the job training given)
" Be conversant with the Data Protection Act 1998; it's meanings and practises
" Microsoft Word and Excel experience and an understanding of SharePoint
