Job Description

Brook Street are proud to advertise a role at the MOD in Tidworth, this is for a 3 month period working full time Monday to Friday 37 hours. The pay rate is £7.83-£8.45 per hour

The Temporary Worker will provide routine administrative support tasks according to well-established procedures. Examples of work performed will include but not be restricted to:

Sorting and distributing mail

Photocopying, filing, posting or proof-reading data

Answering telephone calls and relaying messages


Typical qualifications and experience:

Two GCSEs at Grade C or above or equivalent

NVQ Business Administration level 1 (or suitable administrative experience)

Basic knowledge of Microsoft Office

Good communication skills, both oral and written



JOB DESCRIPTION:

The Administrator Assistant/Receptionist will work with the Practice Administrator/Chief Clerk based within the Medical Treatment Facility (MTF). The post holder must be versatile with duties to include running/manning the reception when directed, maintaining data on DMICP, managing GP links, answering telephone queries, managing hospital appointments via the e-Referral system, appropriately managing incoming and outgoing mail, scanning and other areas of administration as directed. As the Administrative Assistant the post holder will have a major impact in promoting a positive image of the Medical Facility to patients and other users.



MAIN JOB OBJECTIVES:



To undertake the duties of an Administrative Assistant/Receptionists in providing high quality support in pursuit of the delivery of primary healthcare to entitled personnel.



MAIN DUTIES:



1. To maintain patient and staff confidentiality in accordance with Patient Confidentiality and Staff Confidentiality Protocols. To sign a copy of the former which lists Caldicott Principles; this copy is to be held by the Practice Manager.



2. Receptionist duties ? First point of contact with patients and other MTF users, booking appointments, answering telephones and face to face queries.



3. Support GPs/ANP in the process of e referrals, following local protocol.



4. Administration support to the clinical staff including the use of Microsoft office, assisting with general typing duties.



5. To follow DPHC/Local systems and procedures on all policies, guidelines and directives.



6. Maintaining data on DMICP.



7. To be responsible for managing GP links for dependants including; Filing medical paperwork and Form FP5Bs (Lloyd George?s) as required ensuring that they are folded and sorted correctly as per DPHC protocols.



8. Manage requests for insurance claims/FOI/SARs in accordance with DPHC policies and local guidance/directives.



9. Appropriately managing incoming and outgoing mail and faxes.



10. General clerical duties to include photocopying, shredding of paperwork and scanning/ tasking of documents as per local protocols.



11. Be aware of the complaints procedure and refer all complaints to the Practice Manager.

12. Cover for other administrative assistants during periods of absence.



13. Any other tasks commensurate of the grade or as directed by line management.



14. To be familiar with current health and safety at work legislation and to work in such a

way as to ensure the health, safety and welfare of all staff and patients within the medical

centre.

15. Complete all mandatory Training as directed by MOD policy and Line Management.
