Job Description

Brook Street are proud to advertise a role at the MOD in Tidworth, this is for a 5 months period working full time Monday to Friday 37 hours. The pay rate is £10.35 per hour.

The Temporary Worker will provide administrative support. He or she will follow set procedures and will exercise some independent judgment in carrying out instructions, under general supervision. Examples of work performed will include but not be restricted to: Collating and analysing fairly complex information or data, submitting results in a written report

Overseeing administrative procedures and processes assisting with budget preparation and control, if required Acting as a administrative liaison with internal and / or external sources. Preparing routine correspondence

Typical qualifications and experience: Five GCSEs at Grade C or above or equivalent (including English Language or equivalent)

NVQ Business Administration Level 2 (or suitable clerical experience)

Administrative experience with a good knowledge of and experience in using Microsoft Office Good communication skills, both oral and written

The Practice Administrator will work within the Medical Centre under the supervision of the Practice Manager and the line management of the Senior Practice Nurse and will have deputising responsibility for the Practice Manager in their absence. The Practice Administrator will also have responsibility for the quality and smooth running of the administrative area of primary healthcare delivery within the Medical Centre.

The duties of the post include the timely preparation of notes and statistics for clinics and surgeries and the accurate administration of medical records of Service personnel.To maintain patient and staff confidentiality iaw the Patient Confidentiality and Staff Confidentiality Protocols. To sign a copy of the former which lists Caldicott Principles; this copy is to be held by the Practice Manager. To action urgent duties for the Practice Manager in her absence to ensure the smooth running of health care delivery within the Medical Facility. Provide day-to-day supervision of two E2 administrative staff, delegating tasks accordingly and ensuring the smooth running of the front office/reception area. To ensure DMICP appointment templates are maintained accurately for all clinicians within the Medical and Physio Department. Maintain the recall system (via DMICP) for vaccinations and PULHEEMS and present the statistics to the Practice Manager as required. To provide a medical typing service for the Medical and Physio Department, ensuring that all typing is carried out as efficiently and accurately as directed. Collate the required information and stats to enable the PM to submit monthly KPIs. Maintain an accurate staff recall list. Ensure an accurate Practice telephone list is maintained. Enter all incoming clinical correspondence, reports and results onto DMICP.

To ensure that all Insurance claims/AFCS forms are processed in a timely manner. Maintain general stationery requirements for the department, i.e. envelopes, photocopier paper, pens and pencils. Be aware of the complaints procedure and refer all complaints to the Practice Manager. Be aware of the procedures involved in the processing and safe keeping of patient documents and oversee the work of the E2s responsible for doing so.

Provide cover for this area in the absence of staff. When required, participate in general reception duties including: directing enquiries, answering telephone, filing, mail distribution and booking appointments on DMICP.
