Job Description
Job title: Clerical/Admin Assistant
Hours: 37 working hours
Location: Gloucestershire
Hourly rate: £9.09 per hour, longer temp temporary contract (duration unknown)
My client is a well-known government organisation based in Gloucestershire looking to recruit an Clerical/Admin Assistant.
Clerical/Admin Assistant responsibilities:
You will be working will working with the Practice Administrator/Chief Clerk based within the Medical Treatment Facility. You must be versatile with duties to include running/manning the reception when directed.
Examples of work performed will include but not be restricted to:
" Maintaining data
" Managing GP links
" Answering telephone queries
" Managing hospital appointments via the e-Referral system
" Appropriately managing incoming and outgoing mail
" Scanning and other areas of administration as directed
" As the Administrative Assistant the post holder will have a major impact in promoting a positive image of the Medical Facility to patients and other users
" To undertake the duties of an Administrative Assistant/Receptionists in providing high quality support in pursuit of the delivery of primary healthcare to entitled personnel
Main duties:
" To maintain patient and staff confidentiality in accordance with Patient Confidentiality and Staff Confidentiality Protocols
" To sign a copy of the former which lists Principles; this copy is to be held by the Practice Manager
" Receptionist duties
" First point of contact with patients
" Booking appointments
" Answering telephones
" Face to face queries
" Support GPs in the process of e referrals, following local protocol
" Administration support to the clinical staff including the use of Microsoft office, assisting with general typing duties
" To follow local systems and procedures on all policies, guidelines and directives
" Maintaining data on record system
" To be responsible for managing GP links for dependants including filing medical paperwork as required ensuring that they are folded and sorted correctly as per protocols
" Manage requests for insurance claims in accordance with policies and local guidance/directives
" Appropriately managing incoming and outgoing mail and faxes
" General clerical duties to include photocopying, shredding of paperwork and scanning/ tasking of documents as per local protocols
" Be aware of the complaints procedure and refer all complaints to the Practice Manager
" Cover for other administrative assistants during periods of absence
" To be familiar with current health and safety at work legislation and to work in such a way as to ensure the health, safety and welfare of all staff and patients within the medical centre
" Complete all mandatory Training as directed by business policy and Line Management
" Any other tasks commensurate of the grade or as directed by line management
Clerical/Admin Assistant desired Skills and Experience:
" Good customer service
" Good knowledge of Microsoft
