Job Description

We're Recruiting: Secure Examination Support Officer

Location: Hybrid (Office & Home-Based)
Organisation: Intellectual Property Office (IPO)

Are you highly organised, detail-oriented, and looking to make a meaningful contribution to public service? Join the IPO as a Secure Examination Support Officer and play a vital role in supporting our examination processes and maintaining the integrity of intellectual property data.


Role Overview

As a Secure Examination Support Officer, you will be responsible for processing, recording, and managing sensitive documentation to a high standard. You will ensure compliance with legal and quality requirements, while also delivering excellent customer service through both written and verbal communication.


Daily Responsibilities

  1. Form Processing

    • Process forms in line with agreed quality standards.

    • Ensure compliance with legal requirements and communicate findings to customers in writing.

  2. Data Entry and Records Management

    • Accurately input data into IPO systems, upload relevant documentation, and maintain clear, accurate records.

    • Identify any gaps or errors and escalate appropriately.

  3. Documentation Production

    • Create clear and accurate documents in accordance with internal guidance and standards.

  4. Customer Communication

    • Answer telephone calls within 5 rings.

    • Respond to general enquiry letters/emails within 5 working days.

    • Respond to more detailed correspondence within 3 weeks of receipt.

  5. Cross-Team Support

    • Provide administrative support to other teams as required.


Hybrid Working & Office Attendance

We currently operate a hybrid working model, combining home and office-based work:

  • Minimum 20% of your working week will be office-based.

  • You may occasionally be required to attend the office at short notice depending on business needs.

Training

4 weeks office based training.
