Job Description

Brook Street Edinburgh is proud to be recruiting on behalf of one of Edinburgh`s most esteemed Chartered Professional Body dedicated to education and development who has an opportunity for a Communities Executive to join their team.

This is an office based, member facing role. You will be expected to attend meetings and events which will require some travel and out of hours work, also you will be reporting to and supporting one Communities Manager but working within two practice areas. In this role you will be supporting members of the Professional Communities Team and providing the appropriate administrative assistance to the Boards, Sub-committees, working parties/member interest groups and any other committees.


Principal Accountabilities

Support the Communities Manager in all committee and board administration, including organising/scheduling meetings, producing agendas and papers, and taking minutes and recording actions

Assist in coordinating member-led working parties and member interest groups, which may include producing surveys, helping with meeting logistics or updating working party records

Coordinate monthly newsletters, liaising with the necessary internal contacts.

Assist in event programme management, including contacting speakers, liaising with Events Managers, and last minute requests

Assist in collating written materials and slides for annual conferences

Ensure information is continuously updated for all boards, Sub-committees and working parties, including in central records, mailing lists and on the website.

Support the Communities Manager in pulling together information for annual reports, research and working party trackers.

Liaise with Policy, Public Affairs, Research, Events and General Counsel Teams in completing tasks for boards and Sub-committees.



Essential

Good written communication and excellent interpersonal skills
Methodical and able to prioritise, use own initiative and multi task to balance a busy workload
Excellent attention to detail and accuracy
Good IT skills (Email, Word and Excel) and to have an affinity with databases
Ability to work in a multi-site team
Strong organisational skills
Experienced minute taking with high accuracy, including the ability to produce minutes from tapes
Good team worker
Takes personal ownership of delivering high standards of service to meet the agreed departmental and organisational benchmarked standards
Adapts to and supports the Communities Manager in non-routine or non-standard situations and problem solves to meet unplanned demands
Tact and diplomacy in dealing with sensitive and confidential issues

Desirable

Experience of working with volunteers
Some experience of producing management information and report writing
Interest in or experience of working across different teams or directorates
Experience of carrying out or supporting research
Experience of organising or supporting events
Experience of working in a regulatory/ membership body environment/financial sector
Knowledge of electronic diary management/room booking systems
Ability to be creative

The role is predominantly office based in Edinburgh but you will be required to travel to other office sites as required.
