Job Description

Corporate Legal Secretary - £20k - £23k DOE

Southampton

Are you a PA, Secretary or Executive Assistant with experience in the medical or legal sector?

Do you have administrative experience and are you looking for a company who place an emphasis on work/life balance?

Looking to work for a company voted in the top 5 for UK Law Firm of the Year as a great place to work?

Brook Street is very happy to be working with a national law firm who over recent years have grown to over 600 people and are continuing to grow. Our client has an exciting opportunity for a Legal Secretary to join a small and friendly team in their Corporate & Commercial Team department to support administrative duties. You will be a self-starter, motivated and willing to work on your own initiative and ideally you will have previous administrative experience and work well in a fast-paced office environment.

The role:

The role involves providing secretarial support to Partner, Senior Associate and other Solicitors within the corporate team as required, and working with the other secretary in the team to manage work levels across all support staff in the team.

Your regular duties will include: sorting, screening, scanning and prioritising incoming and outgoing post, opening, closing and archiving client files, document production (including some audio typing by Digital Dictation) copy typing, emails, memos, assisting with compiling articles, setting up file reviews, and filing. You will ensure documents and records are stored appropriately, including ensuring filing and e-filing is up to date and accessible. Attention to detail is key and you must be able to prioritise and communicate effectively.

You will also be required to assist your fee-earners with the billing process, agreeing in advance dates for billing, requesting pre-bills and drafting standard cover letters for the fee-earners to authorise and sign-off.

You may sometimes be the first point of contact for new and existing clients and have regular communication with them (taking messages, arranging meetings etc.), so should demonstrate professionalism in all your communications.

You will also carry out other administrative / secretarial activities as required, including helping other administrators and secretaries during busy periods and to cover colleagues' absences from work.

The full time position will be asked to work on a rota basis 37.5 hours per week between the hours of 8am and 5pm (7.5 hours per day). In return you will be offered an excellent starting salary of £20k - £23k depending on experience, life assurance, subsidised gym memberships, as well as 26 days holiday + bank holidays.

About you:

Previous experience of working within a legal environment would be beneficial, however if you have at least 12 months' experience of working within a busy PA or administrative role, are a quick learner, very IT literate and have a genuine interest in working within the legal sector, we would be keen to hear from you.

This role will be well suited to you if you like to prioritise your own workload, work closely to deadlines, and can work with minimum supervision and under pressure. You will need to demonstrate from experience that you are exceptionally organised and pro-active, that you have a flexible 'can-do' attitude, and that you have the skills to work closely with various stakeholders and have direct contact with clients.

If you are still interested in the role and looking for work it would speed up your application process if you completed an online registration with Brook Street as soon as possible via the following link: https://www.brookstreet.co.uk/account/registration.aspx.
