Job Description
NHS Digital- Band 4 Delivery Support Officer
Location: Leeds
Hours: Monday - Friday (37.5 hours)
Pay: £11.20ph
This is an ongoing temporary position with the possibility of a further extension at the discretion of the business requirements.
What the Role will include:
Working within a small project team, the role will help support the delivery of an IT project in health and children's social care, through administrative and project support tasks
General:
- Manage the email group mailbox: respond to enquiries in a timely manner and/or direct to the appropriate team member; maintain good mailbox order (filing, deleting, reminders etc)
- Ensure good time management regarding meeting governance e.g ensure invites, meeting papers/documents are set up and produced in a timely manner by sending reminders and working closely with the project team
- Attend and participate in Team Meetings (currently virtual or if appropriate, in-person)
- Support meetings as required by: planning and coordinating meeting arrangements i.e. canvassing availability, agreeing dates, sending invitations, preparing agenda and presentations / slides, recording meetings/taking notes.
- Agreeing meeting dates and setting up/sending out calendar invites, setting up and managing invitations, responding to enquiries in the project group mailbox
- Agreeing the agenda with the Programme Manager
- Producing slides
- Managing the Teams call (recording, managing entry to the session, slide presenter
- Responding to enquiries in the project group mailbox regarding Programme Board and /or liaising with the appropriate team member for a response
Communications:
- Bulletin
- Arrange monthly meetings with the programme manager and senior project manager to agree items for the bulletin
- Produce and collate content to produce the bulletin, liaising with team members for content where applicable
- Liaise with approvers to secure sign off of the bulletin
- Liaise with the Contact Centre to ensure the bulletin is sent out in a timely manner
- Mailing list
- Maintain CP-IS mailing lists
- Social Media
- Work with the programme team and comms to develop social media content
- Web pages
- Work with the programme team, comms and the web team to develop new website content
- Case studies
- Work with programme and stakeholders to develop case studies
Knowledge
Essential
- Awareness of task management, workflow or collaboration tools.
- Foundation level knowledge of how working in a delivery environment functions, with objectives, risk management, and deadlines.
Desirable
- Awareness of NHS Digital and how it supports the NHS.
- Awareness of health service terminology.
