Job Description

***We are looking for an Administrator to work with one of our clients***

Based in London (Remote working role)

Temporary role for 6 months initially

37 hours per week between the hours of 8.30am - 17.30pm

Pay rate £10.21 per hour


The Diary Manager role is a critical role and you will be expected to work effectively with senior colleagues.

This role provides an excellent opportunity to work within the heart of the Business Architecture Team, whilst also working closely with the Deputy Director and other Directorates, the role will be fast-paced, challenging and rewarding.

The successful candidate will need to be organised, assertive and confident with the ability to prioritise a busy workload. As a representative of the Deputy Director, excellent communications skills and the ability to remain calm and reliable under pressure are also essential.

The key purpose of the role is to

Provide high quality, effective and proactive diary management for the Deputy Director and administrative support for the senior leadership team. Communicating and liaising with a wide range of internal and external stakeholders, agencies and representatives from other organisations.

Key responsibilities

" Support the Deputy Director by managing the diary, organising meetings and agendas and papers in a digitally focused way. Ensure that day-to-day business for the Deputy Director is well-organised and appropriately prioritised.
" Deal with conflicting requests for meetings and prioritise using own initiative, referring more complex issues to the Deputy Director as appropriate.
" Set up systems to track and monitor action points arising from meetings ensuring these are followed up and resolved using appropriate means of escalation.

" Manage and process all correspondence including email, responding when required on behalf of the Deputy Director.
" Provide administrative and business support to the Deputy Director, preparing documents inc drafting correspondence, reports and presentations tailored to specific audiences and organising meeting rooms, equipment, travel & hotel booking etc.
" Be a key point of contact for any interaction with the Deputy Director, using judgement to prioritise items that require attention or action by the Deputy Director.

" Devise and maintain administrative and operational processes and systems including senior management team support inc business continuity, maintaining Directorate-wide resources inc Organograms.

" Undertake specific project work and background research to inform development work and aid decision making eg HMCTS Design Authority meeting support including commissioning, agenda preparation and communications.
" Take a proactive part in team activities eg Employee Engagement Group activities including taking forward the People Survey Action Plan.
" Provide team support eg Reward and Recognition scheme administrator, stationary ordering, IT ordering, and other business support activities as required.
" Contribute to key reporting activities, such as directorate Covid reporting.

" The post holder will report to an Associate Business Architect.

Other duties

The post holder is required to work in a flexible way and undertake any other duties reasonably requested by line management which are commensurate with the grade and level of responsibility of this post.

Essential Skills, Knowledge & Experience:

We're looking for an enthusiastic and highly motivated person who meets the following essential criteria:

o Good level of MS365 offering, including MS Teams, Outlook, PowerPoint knowledge and expertise
o Good collaboration and stakeholder management skills
o Be able to work unsupervised and be adaptable to changing timelines and demands
o Ability to prioritise work against competing priorities in a fast-paced environment focused on timely and accurate delivery

Location of Post

The successful candidate will be expected to work flexibly to meet operational needs and occasional travel will be required, however base location can be flexible and arranged around the nearest office with available space.
