I am looking for an experienced Executive Assistant to join my clients small busy team to provide the full range of secretarial support to the Managing Director and to successfully manage the performance of the PA to the Executive Director.
Tasks to include:
" Record, monitor and update all internal and external client`s systems on all claims in order to get to invoice stage
" To be responsible for the management of the Personal Assistant and to deal with any operational issues arising from the service provided by the Personal Assistant.
" To take the lead role in the effective management of the Executive Suite and related duties.
" To support the Managing Director by providing a full range of secretarial services, to include liaising with senior management, staff and Councillors, external agencies including government departments and the public.
" To be responsible for the Managing Directors correspondence, the maintenance of files, confidential records, arrangement of appointments and the management of the Managing Directors diary.
" Provision of a full range of secretarial services including shorthand word processing, sending and responding to e-mails, arranging and organising diary appointments and monitoring the progress of responses and actions arising.
" To monitor and review the work carried out by the Personal Assistant to ensure they meet the required standards, business demands and are achieved within the required timescales.
" Recording correspondence on the corporate monitoring systems, following-up actions and drafting correspondence as required including overseeing the work carried out by the Personal Assistant.
What we need from you:
" well-organised and efficient
" able to complete tasks independently and maintain confidentiality in all situations
" excellent administrative experience within a similar role working within a complex organisation and will have had experience of managing the performance of others
" Microsoft Office, Excel and PowerPoint to a high standard.
" EA Background to a director
