Job Description

Brook Street are currently working on behalf of our global IT client to recruit an Executive Administrator.

This is a contract role to start ASAP on an initial 6 month contract.

The salary offered is up to £38,000 per annum depending on experience.

The role will be based remotely to begin with and may require some onsite presence at our client's Reading offices once restrictions ease.

Role Summary

  • To provide executive administrative support to our client's Services Senior Leadership Member (SSLM).
  • To be a trusted right-hand person and conscience for the SSLM and the business.
  • Work alongside the Time-Zone Business Manager / Chief of Staff supporting them in ensuring that the business runs as effectively as possible.
  • Responsibilities include planning the business and people rhythm to enable the running of the business e.g. Leadership and Stakeholder Meetings & Events, Ensuring the agenda is set and prepared, Ensuring the right people are attending and the team is prepared.
  • As an ambassador for the SSLM, both internally and externally, the EA will need to demonstrate a high degree of customer facing and interpersonal skills.
  • The EA is to ensure smooth and seamless integration and management of the SSLM office, applying pro-activity, initiative, discretion and confidentiality to all tasks.

Primary Responsibilities

  • Provide calendar & travel support with utmost attention to accuracy and timelines, including:

- Coordinate and schedule internal/external meetings

- Work with stakeholders to brief Customer Meeting Briefings where required
- Arrange domestic and international travel as needed
- Reconcile and process expense reports for manager.

  • Partner with the Domain Business Manager to manage/maintain the Rhythm of Business calendar (Business and People Review Meetings & Events)
  • Providing support to the team for software licenses and hardware requests and manage spend in accordance with the fiscal budget.
  • Manage the team hardware inventory and proactively plan and execute hardware refresh program and ensure machines for leavers are retained and reused
  • Collate Domain Quarterly Business News working with nominated stakeholders
  • Maintaining and Scrubbing distribution aliases and managing the Teams site for the business.
  • Maintain financial approval limits for managers (expenses, general purchase orders)
  • Overall fiscal year planning of business or team morale events.
  • Ensure compliance with administrative operations policies and procedures.
  • Exercise sound judgement, tact, diplomacy, integrity, and professionalism in all transactions to include communicating and working with confidential and sensitive information.

Knowledge, Skills & Experience

  • Demonstrable experience operating as an Executive Administrator in a large corporate environment.
  • Balanced skill profile including attention to detail, problem solving, organization and time management.
  • Excellent written and verbal communications skills.
  • Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organization.
  • Ability to accommodate varying work styles and perspectives of diverse individuals and groups.
  • Ability to work effectively under pressure, calmly and confidently with a "can-do" attitude.
  • Must have a high level of integrity and ability to manage sensitive and confidential information with discretion and professionalism.
  • Demonstrated proficiency in Outlook, Word, Excel, Visio and PowerPoint.
