Job Description

We are currently working with a boutique executive search firm based in Chancery Lane, recruiting for an Executive Assistant to support the Managing Director and Finance Director. The successful candidate must be available to start by Monday 29th July at the latest.

Key EA responsibilities:
- Extensive diary and meeting management
- International travel arrangements for the team
- Producing presentations using PowerPoint, and documents for company and client meetings
- Management of social events and company meetings
- Ordering of office supplies and stationary, management of office moves
- Supplier relationship management including finalising of contractual agreements
- Maintenance of office technology and resolving basic IT issues
- Development and maintenance of database systems
- Maintenance of the holiday and sickness record
- Onboarding of new starters including creation of induction programs in line with Manager approval
- Office health & safety (fire warden, first aider, risk assessments, policy updates)

In addition to the above, you will also be working closely with the Head of Finance and your responsibilities will include:
- Managing and processing sales invoices and sending to clients
- Control assignment schedules for temps, including processing invoices
- Process supplier invoices
- Monitor and process expenses for all staff and MD
- All finance filing and ad hoc finance tasks

To be considered for this role, we require the following:
- Expertise in a Corporate environment, ideally within a Recruitment or Search firm but this is not essential for the right person
- Fantastic MS Office skills (PowerPoint, Excel etc)
- Extremely confidential and trustworthy nature
- Proven expertise working as a PA/EA supporting Board level Executives
- Background or interest in Finance
- Available to start by Monday 29th July (sooner preferred)
