Job Description

We have an opening for a Temp Executive Assistant to provide secretarial support to a senior Management team within one of our Public Sector clients. We are looking for candidates who have a proven background working with a Senior Management team. You shall be proficient in all Microsoft packages, have excellent communication skills, be highly organised and can manage multiple diaries.

This role will be based in one of our offices in the East of England Region most of the role will be undertaken remotely and only occasional working from office location as and when required.
This role will be for a 3-month period Initially
standard hours would be Monday- Friday 9-5.00
Key duties and responsibilities:
Manage Deputy Director or Head of Operational Function`s Diary
o Supporting the Deputy Director or Head of Operational Function in meeting business requirements by supporting them to resolve conflicting demands in planning schedules
o Efficient maintenance of the Deputy Director or Head of Operational Function`s diary ensuring that time management is optimised
o Acting as a screening point for the Deputy Director or Head of Operational Function`s telephone calls, general correspondence and e-mails, highlighting priority work and responding to queries using an understanding of Probation service delivery and the partnership map
o Developing and maintaining comprehensive and up-to-date electronic and manual filing systems which support the operational delivery of Probation services and are effective in storing and retrieving key data
o Taking minutes at senior management meetings and distributing to relevant parties

Experience/skills required:

Experience as a secretary/PA and be proficient with the Microsoft Office suite of programs and have the ability to learn internal systems.

Good communication skills both oral and written, the ability to converse on all levels.

Proven ability to work unsupervised, work well within teams, manage your own workload and meet tight deadlines.
Strong diary management skills, excellent organisational skills and can-do attitude.

Have proven background experience working with senior Management teams
