Job Description

Executive Assistant/Personal Assistant Required

Our client is looking for a temporary Executive Assistant/PA to provide professional support to a member of the executive management team. The role is based in Portsmouth and would be initially for 1 month, with possibility of extension and even making this a permanent opportunity.


Key Responsibilities

  • Act as first point of contact performing a gatekeeper role and filtering all requests to your executive manager.
  • Act as the link between your executive manager, the University and external stakeholders, partners and high level contacts, developing effective networks of contacts to assist in the communications between the University and external organisations.
  • Prioritising and managing a reliable task list, bring forward system and, through a thorough understanding of priorities and objectives.
  • Take responsibility for managing and dealing with all correspondence and communications with discretion and courtesy, including emails and telephone calls.
  • Take the lead in researching and compiling information to assist in fulfilling your executive manager's role in the conduct of policies and procedures. Follow up actions and ensure delivery to appropriate timescales.
  • Arrange travel and accommodation for external meetings and visits, including international travel, preparing detailed itineraries in liaison with external agencies and international contacts to ensure effective use of your executive manager's time and University resources.
  • Act as a representative of the University and be the first point of contact for all visitors to the Vice-Chancellor's Office, maintaining high levels of professionalism and displaying excellent customer service.

Skills required

  • Experience of working and communicating effectively at all levels.
  • Experience of working as a PA/Secretary at executive/board level.
  • Excellent organisational and administrative skills and a proven ability to plan ahead and anticipate requirements.
  • Outstanding writing skills, including a clear style of communication and demonstrable attention to detail.
  • Experience of committee management: agenda setting, minuting, servicing meetings, with due regard for accuracy, brevity and integrity.
  • IT Literate, use of Microsoft packages including Word, Excel and Powerpoint.

Qualifications, Education & Training

  • GCSE or equivalent qualification in English
  • Word Processing/Typing Qualification
  • Relevant secretarial/PA qualification or equivalent
