Job Description

My client, a very reputable High School Academy in Lambeth, is in need of an Executive Assistant to cover 8 month maternity leave from September 2019

To provide high level and comprehensive support to the Headteacher, enabling him to use his time to maximum effect.

Professional Responsibilities
1. Executive assistant responsibilities includes
1.1. To meet and priorities the administrative needs of the Headteacher, including typing letters, reports, emails and taking minutes when required.
1.2. To manage the Headteacher's diary to the greatest efficiency, arrange appointments, brief fully for meetings, ensure papers are prepared for meetings, and ensure domestic arrangements for meetings are in place.
1.3. To be the first point of contact for telephone communication, answer the telephone for the Headteacher and respond where possible/appropriate. Take messages and pass on at timely intervals.
1.4. To act as the first point of contact with the media on behalf of the Headteacher.
1.5. To be responsible for accessing the M.I.S. as requested.
1.6. To complete expenses for the Headteacher on a timely basis (at least once a month).
1.7. To maintain an efficient and up-to-date filing system for the Headteacher.
1.8. To take responsibility for the Headteacher's visitors, including the domestic arrangements.
1.9. To be responsible for the administration of the Leadership Team meetings and liaise with the Chair of Governors and the FLA.
1.10. To organise meetings and conferences, taking minutes of those meetings where necessary. From time-to-time, this will involve evening meetings.
1.11. To undertake contact with senior, professional people, including Heads and Headteachers of ULT/UCST schools, Board members and professional consultants etc.
1.12. To liaise with the ADH Pastoral, Ethos and Business and the administrative staff to ensure co-ordination and continuity.

Administration and School Support
To deal with a range of telephone queries from parents, professionals, etc.
To assist in the maintenance of the various school computerised databases of pupil and staff information including: SIMS
To provide assistance with other information databases during the busiest times of the year
To deal with any emergency brought to their attention, deciding on the best course of action and either dealing with the situation if appropriate or referring it to a Senior Manager
To provide administrative support in organising safety procedures, including fire drills and enforcement of Health and Safety requirements and initiatives as directed
To contribute to the Academy's objective of improving standards and the maintenance of a caring and stimulating environment for pupils as appropriate
To support Academy reception functions and other school activities e.g. academic review days, open days/evenings

Other Responsibilities

To undertake any other tasks that may reasonably be assigned by the Headteacher from time to time.

Child Protection

To have due regard for safeguarding and promoting the welfare of children and young people and to follow the child protection procedures adopted by ULT and the Academy's safeguarding policy

Special Conditions of Service

The postholder may be required to work outside of normal school hours on occasions, with due notice

Performance Management

  1. To take part in the Academy's staff development programme by participating in arrangements for further training and professional development.
  2. To continue personal development in the relevant areas;
  3. To actively engage in the Performance Management Review procedures

Academy Policy

To help implement Academy quality procedures and to adhere to those.
To communicate effectively with the parents of students as appropriate.
To follow agreed policies for communication in the Academy.
To take part in marketing and liaison activities such as Open Evenings, Parents Evenings, Review days and liaison events with partner schools.
To attend directed time meetings.
To follow Lambeth Academy policies.
