Job Description

Temporary Contract
Monday- Friday 9am-5pm
37hrs per week
Pay rate starts at £10.21 Increasing to £12.75 after 12 working weeks
Vetting will be required this may take between 7-14 days
Job Role -Executive Officer
The Executive Director North office is busy and can be a fast-paced working environment with competing priorities and daily challenges. We are a small team, therefore excellent communication skills, working on own initiative and team working are both equally as important and being able to work closely with all grades is a key requirement. Honesty and integrity are essential for this role as you will be working for the Executive Director North of public sector prisons. Good working knowledge of Microsoft word, excel & PowerPoint required. Manage the administrative processes within the ED Office
Office facilities - overseeing the maintenance of the building, cleanliness, reporting repairs on Planet and maintain supplies
Finance - procurement for ED Office/H&S, ensuring compliance to policies and procedures and ensure the office is adequately resourced.
Manage and update relevant databases, ensuring integrity of data
Preparation of Bilat folders, taking and typing of Bilat minutes, tracking of the actions for the ED Office, adhering to the deadlines.
Preparation of the visit files for the ED, adhering to strict deadlines.
Incident Reporting - manage and maintain process, highlighting anything of significance
Capacity - provide administrative support on all capacity matters
Vehicles - responsible for the ED pool car and DST vans, ensuring monthly returns are completed and returned to the transport team, maintenance of vehicles and compliance with rules and regulations.
Diary management of ED Executive.
Work collaboratively with the ED PS, who works from home, highlighting any issues/updates to the office".

Typical qualifications and experience: five GCSEs at Grade C or above or equivalent (including English Language or equivalent), NVQ Business Administration Level 2, or suitable clerical experience. Administrative experience with a good knowledge of and experience in using Microsoft Office. Excellent communication skills, both oral and written
