Job Description
Role: Ministry of Justice HQ- Commercial Administration Officer
Location: 5 Wellington Place, Leeds, LS14AP Hybrid working, 2 days in the Leeds office will be required)
Hours: Monday - Friday, 37 hours per week (9:00-17:00)
Salary: £13.01 PH
We have an exciting opportunity for a Commercial Administrative Officer to work for our client MOJ in their People Services Category Team in Leeds. This is a temporary position which is likely to be extended, down to the client's own discretion and business needs.
Overview of role:
As a Commercial Administrative Officer, you will support the team to deliver procurement and contract management activities to achieve commercial outcomes across the business. The category involves working with a wide and diverse set of stakeholders and suppliers and covers some unique and niche requirements.
Examples of work performed will include but not be restricted to:
- Maintenance and updates to the relevant commercial systems, such as the Bravo eSourcing portal, SOP, Internal Trackers and Contracts Finder
- Managing P2P processes for the category from processing requisitions to placing orders
- Monitoring team inbox, management, and development of team processes.
- Assessing actions that need to be taken to support the team, supporting commercial team members and carrying out instructions.
- Arranging and booking meetings. Document management (including photocopying, drafting agendas for meetings, sending key documents on behalf of team members).
- Resolving business and supplier enquires by telephone and email
- Managing the production of MI reports for a range of internal and external stakeholders
- Managing sensitive information in a confidential manner
Skills required for the role:
Essential
- An ability to plan, organise and manage your own time effectively
- Excellent verbal and written skills, with an ability to communicate with clarity and confidence to a wide range of stakeholders
- Use your own initiative as well as working part of a team
- Strong Admin skills
- Ability to develop and maintain good working relationships
- Competent with Microsoft Office programmes such as Outlook, Word, and Excel
Desirable
- Experience of analysing data and presenting this in a clear and user-friendly format
- Commercial experience
- Knowledge of procurement tools, techniques, and processes.
- Exposure to iProcurement Systems, e.g. Oracle or Bravo.
