Job Description

The support team based in Leeds City Centre is looking to expand and develop its team due to natural attrition however they have also been awarded a number of specific projects that need staff to manage this.

This is a full-time ongoing, long-term temporary assignment.
Providing high-level, diverse secretarial and administrative support to an Executive Director, your duties will include:
" Management of emails including filtering, prioritising, identifying deadlines, linking threads and forwarding.
" Management of complex diary, planning and coordinating commitments, arranging meetings and appointments.
" Screening and directing Executive Director's telephone calls.
" Planning, organisation and administration of meetings, including taking minutes and action logs, plus collation and distribution of meeting papers.
" Booking accommodation and making travel arrangements.
" Receiving visitors.
" Collating and analysing data to produce reports as required. May include transcribing dictation.
" Creating/maintaining up to date records, files, contact lists, management information and SharePoint sites.
" Planning, organising and prioritising own workload and deputising for colleagues.

Typical qualifications and experience:
" Stage III RSA certificate (or equivalent) in typing / word processing
" Preferably a member of IQPS
" 3 years or more experience as an executive secretary / personal assistant
" An advanced level of computer literacy and wide knowledge of relevant software packages
" Excellent communication skills both oral and written
" Work collaboratively and inclusively inspiring others.
" Able to make harmonious and productive working relationships.
" Proactive and able to take the initiative.
" Adaptable and flexible, able to respond positively to challenges.
" Close attention to detail and accuracy.
" Ability to deal with conflict and negotiate solutions effectively.
