Job Description

My client based in Nettleham is looking for a Facilities and Fleet Administrator for a full time temporary basis for until August 2019 to cover a period of maternity.

The position will be working within a Fleet and Facilities department and will include working in the mail room and on reception areas. To provide support and assistance within the department ensuring the smooth operation and delivery of core objectives.

Key responsibilities:
o Supporting the Facilities Services Helpdesk by co-ordinating activities including monitoring the facilities services mailbox for repair, maintenance and caretaker requests along with taking telephone calls.
o Operating, updating and maintaining Concept Evolution software including updating information in relation to the asset base (room names and numbers, department groups, contractor detail, lease and license information and producing crystal property reports or similar).
o Responsible for the production of the KPI and PI reports on a monthly basis to meet contractual obligations.
o Manage and monitor the process for contract renewal requirements in relation to contracted out services.
o Responsible for the process of contractor vetting and insurance to ensure that all external contractors have valid security clearance and have the necessary insurance cover to work on site.
o Responsible for generating purchase orders for goods and services including receipting when goods and services are delivered.
o Undertake administrative tasks such as filing, database inputting, scanning and other related administrative tasks.
o Liaise with external providers regarding the provision of services to Lincolnshire Police.
o Record, monitor and process vehicle accident data liaising with third parties where necessary.
o Maintain vehicle weekly check sheet database producing appropriate reports were necessary and acting on these reports accordingly.
o Administer the return of vehicle monthly mileage sheets and create associated reports when necessary.
o Responsible for the day to day arrangements of the Forces hire vehicle requirement ensuring relevant insurance databases are updated to maintain legal compliance.

This is a full time Monday to Friday position on £7.83 ph
