Finance Assistant-Job Description
Responsible to: Finance Officer
Job Purpose
The Finance Assistant is responsible for:
" Working as part of the Finance team delivering an efficient and effective financial, accounting and administrative service to the school and its stakeholders.
" Undertaking general office, reception and other administrative duties as required.
Job Specification
Financial Administration
" To establish and maintain good relationships with all students, parents/carers, colleagues, suppliers and contractors.
" To provide efficient finance and administration assistance to Line Manager.
" To assist in maintaining and updating information held on school databases in particular those relating to finance including recording expenditure and income, accessing and producing reports for budget holders.
" To support with the financial administration of the school's cashless payment systems e.g. Parent Pay.
" To assist with updating and maintaining the lunch management system.
" To assist in providing financial administration for school trips and liaising with the school's catering services with regard to free school meals.
" To process orders ensuring sufficient funds are available beforehand, receive delivered goods and deal with invoices in accordance with the academy's segregation of duties.
" To process payments following required authorisation having been gained and ensuring are authorised by relevant parties in accordance with the school's segregation of duties.
" To issue school invoices following up their prompt payment in accordance with the academy's segregation of duties.
Administrative
" To ensure administrative duties, checks and documentation are completed to the required level of accuracy.
" To process, input and extract data held on the school's database system/s.
" To maintain both manual and computerised records and filing systems in line with audit requirements such as authorised signatories list, invoices, cheque books.
" To deal with correspondence promptly and as required.
" To answer incoming and internal calls, dealing with requests and enquiries and taking messages as required.
" To ensure that financial procedures and activities are carried out as required within the department.
" To be responsible for the collation and distribution of incoming and outgoing departmental daily mail.
General
" To be flexible within the broad remit of the post.
" To attend school events as required.
" To attend training sessions and meetings as required.
" To ensure compliance within the school of data protection regulations.
" To assist in such duties and activities relating to any of the above areas appropriate to grade as the Headteacher and Governors shall from time to time reasonably require.
