Global Operations Executive Assistant
London
Contract is 18 months

Brook Street is currently working on behalf of our Global IT Client to recruit an Executive Assistant working in Global Operations. This is a contract role based in London Paddington for 18 months.

As a Brook Street contractor you will be entitled to 25 days holiday per annum, 8 days paid Bank Holidays pro rota, discounted gym membership, use of the onsite health facility, access to online learning and training, free parking and an excellent subsidised restaurant.

Salary: up to £36,400 per annum, based on experience, plus benefits

Job Description
Our clients News team provides content for a range of internet and app products across many countries. We take content from our partners (e.g. The Guardian, Daily Telegraph, Daily Mail and many more) and display it to our users in more than 50 countries.

We are looking for an amazing, experienced and enthusiastic business administrator to provide effective administrative support to three Directors:
o Regional Director, Multi-Markets English and Arabia - Primary
o Partner Director of Program Management
o Regional Director, Multi-Europe

Including ad hoc support to the Directors' teams and to the wider group within our clients' News Global Operations organisation.

The successful candidate will have strong planning, organisational and time management skills, as well as the ability to work independently and prioritise among multiple projects. This individual must also demonstrate strong initiative and multi-tasking skills, and the ability to change direction in response to a fluctuating work environment. This position will interact with all levels in the company in addition to our external partners. Excellent follow-through is a must, in addition to having good judgement in handling confidential information and superior interpersonal skills.

Responsibilities
o Calendar management across multiple time-zones
o Coordinating complex travel logistics
o Expense reporting + acting as interim approver on expense reports for Global Operations, ensuring coding accuracy and policy compliance.
o Team office space; new employee setup, onboarding and offboarding
o Purchase equipment, services and supplies for the teams, creating purchase orders and processing invoices.
o Cross collaborating, planning, and support including All Hands, Offsites, morale events, and other group meetings as needed.
o Security group management (email distribution groups)
" Play an active part in the global administration community, and close collaboration with the Senior Group Business Administrator based in Redmond, USA.

Candidate Requirements
o Provide exemplary admin support to the Directors enabling them to work efficiently and effectively.
o Strong communication skills
o Ability to manage a high priority and time sensitive workload with a calm, confident and positive attitude.
o Uses initiative appropriate to position and demonstrates a high degree of pro-activity and diplomacy.

Qualifications
o 3+ yrs' business admin experience at Director level, supporting multiple managers.
o Excellent planning and prioritisation ability.
o Able to cope with and manage multiple demands, working under time pressured deadlines with different time zones.
o Able to respond with appropriate urgency to situations and events that require quick response or turnaround.
o Self-starter/works on own initiative, applying diplomacy, tact and patience.
o Desire and willingness to learn.
o Effective communication skills - both verbal and written.
o Strong IT skills - intermediate knowledge of Microsoft Office (Outlook, Word, Excel, Power Point, OneNote, SharePoint, Teams) is essential.
o Knowledge/experience of Online Media.
o Able to work flexible hours to suit the business needs.
o Bi/Multi-lingual (verbal and written) is desirable but not essential.
