Grade Equivalent: HEO
Type of engagement: Temp

End Date: 2 months - possible extension if person remains off sick

SSIG Directorate Office Manager: About the Role

The role is a vital one, it provides a fantastic opportunity for someone wanting to work at the centre of a commercially focussed central government department.
It covers a broad range of crucial administrative tasks within the SSIG directorate. These include: EA support for the Chief Impact Officer; responsibility for managing the administrative aspects of the SSIG directorate; and organisational support to Executive Committee, Board and non-executive sub-committees.
The role reports to the Head of SSIG Office, but works directly with the Chief Impact Officer, and team heads within SSIG.

Main Activities
The role is split into three primary areas:
Office Management Tasks - to support the SSIG directorate by overseeing general administration for the SSIG Office to ensure the smooth and efficient running of the Directorate, including:
* managing, including preparation of and updating, SSIG delegated payment authorities;
* proactively managing gifts and hospitality register, managing attendance of the Chief Impact Officer and all SSIG staff at events to ensure compliance with Departmental and Divisional policy;
* coordinating all travel, hospitality and room booking logistics for SSIG Directorate; and
* ensuring the SSIG office undertakes other administrative tasks and assistance with projects as required for the smooth running of the Division as required.
Executive Assistant support - working closely with the Chief Impact Officer
* Personal provision of comprehensive secretarial support to the Chief Impact Officer, including daily diary management and organisation of papers for meetings;
* managing the SSIG Office inbox, correspondence, documentation and meetings of sensitive nature of with integrity and in confidence;
Secretariat Tasks:
* Providing support to the Executive Committee, Board, Audit and Risk Committees and to the Export Guarantees Advisory Council (EGAC) (arranging meetings; preparing agendas and meeting papers; booking meeting rooms).
