Job Description
Brook Street Recruitment is working with our Belfast client - located in the city centre - they are looking to recruit a new full time and permanent Legal Secretary.
Responsibilities
* To provide the Partners with essential administration and PA support, thereby enabling them to meet client expectations
* To provide professional client service at all times
* To work as part of a wider team of Personal Assistants who provide support to a group of partners.
* To be proactive in managing and supporting the Partners
* To ensure that all administrative and secretarial processes and procedures are streamlined so that the partners can concentrate on their role and responsibilities
Client Contact
* To ensure professional and efficient management of clients
* Answering and making phone calls on behalf of partners
* Fielding /Screening calls on behalf of partners
* Maintain a professional relationship and image with internal/external business contacts
* To work as part of a team of secretaries who provide support for each other in the absence of adequate cover in other areas
Organisation
* Liaise daily with Partners/Fee Earners to discuss current issues/priorities to ensure all deadlines are achieved
* Assist with/assist Partners/Fee Earners with administration of expenses
* Ensure that the client/contact database is up to date
* Diary management including scheduling of meetings and organisation of all travel arrangements
* General administration including filing and archiving on a regular basis
* Development and maintenance of filing and record keeping system
* Ensure all e-mail filing is up to date
* The safe keeping and destruction of confidential information
* Liaise with other departments/facilities within the firm as appropriate to ensure all necessary equipment etc. is in place for meetings/functions
* Any other tasks that may be required
Skills
* Previous legal secretary experience essential
* Literacy in MS Office
* Ability to work in a challenging environment with changing priorities
* Flexibility and adaptability
* Strong communication skills
* Proven organisational skills
* Self Motivated
* Proactive and work on own initiative
* Positive and helpful attitude
* Team Player
* Be responsible and accountable for your workflow
Salary will depend on background £22-24k per annum
