Job Description

THE ROLE

My client is the leading provider of end of life care in the UK. The impact of their existing services on people's experience at end of life is significant. During 2019/20, they helped more than 60,000 people with their services, including hospices, nursing services, helper and companion services, and information and support. However, they're currently only reaching 10% of people at the end of life in the UK and the need for their work has never been greater: every 5 minutes someone in the UK dies without getting the care and support they need. They need to build on their excellent services and change the way they work to strengthen their reach and impact and ensure everyone has the best possible experience at the end of life. They are currently undergoing an extensive transformation which will enable them to support many more people across the UK and beyond through death, dying and bereavement.

They have recently made a significant investment in sector-proven software packages which will enable a step change in the way in which they manage and deliver their front-line services.

We are currently recruiting for a Local Systems Coordinator for our client's hospice based in Hampstead. This will be a hybrid working role. As a Local Systems Coordinator, you will be responsible for ensuring your region maintains an acceptable level of data quality within the electronic patient record systems.

In collaboration with your local head of operations and the national service transformation team, you will be crucial in helping your team achieve the level of data accuracy required to ensure we demonstrate to our commissioners the great care we provide for our patients.

KEY RESPONSIBILITIES/DUTIES

  • To undertake local analysis to review compliance with data and process standards and to work with Product Leads, Lead Ops Analyst and operational managers and staff to resolve any issues identified
  • To produce and collate local reporting to demonstrate performance against national and locally defined KPIs
  • To propose improvements to reporting, including improvements to be implemented at local or national level
  • To support, under the guidance of the relevant product lead, the implementation of new and updated IT solutions and associated processes used by staff in the locality including supporting system configuration activities, training, data migration, testing and support to local users
  • To provide training on IT solutions and associated hardware (laptops/tablets) to new starters in the locality
  • To work with identified superusers in the locality to ensure the provision of ongoing support in the effective use of IT solutions
  • To prepare local SOPs and guidance on the use of IT solutions and associated processes aligned with agreed national standards
  • To create and maintain clinical and document templates to support local SOPs
  • To provide input to the development of national policies and SOPs relating to the use of IT solutions and associated processes, ensuring that the needs of the locality are represented
  • To undertake regular data quality audits to ensure that information is being entered correctly
  • To support data governance and data quality improvement initiatives
  • To provide training/guidance to staff and managers in the locality on the effective management of data and the use of data and analytics dashboards and tools
  • To support business continuity planning
  • To work with other Local System Coordinators to identify common issues and to identify and implement continuous improvement opportunities
  • To provide remote cover/support for Local System Coordinator responsibilities in other regions as required

PERSON SPECIFICATION

  • Some understanding of the purpose and value of analysing data to support business performance
  • Some understanding of the role of IT solutions in supporting business needs and business processes
  • Some understanding of and sensitivity to the implications of handling data
  • Knowledge of Healthcare environment
  • Experience of using data and analytics to measure and report on performance
  • Experience of supporting quality improvement initiatives
  • Experience of supporting activities to ensure compliance with standard processes
  • Experience of supporting others to use IT solutions effectively
  • Experience of developing training materials and user guides
  • Experience of presenting performance information in written reports or presentations
  • Experience of supporting the testing and roll out of new IT solutions
  • Ability to build effective working relationships with managers and staff
  • Strong IT skills in MS Office software packages including MS Word, Excel and PowerPoint
  • Ability to achieve accurate and fast returns of work
  • Good communications skills, both oral and written
  • Good organisation and administrative skills
  • Ability to work on own initiative and be able to prioritise work to ensure deadlines are met daily
  • GCSE/O'Level in English and Maths or equivalent qualification
  • Good attention to detail
  • Passionate about driving change
  • Skilled in Excel as well as previous experience using clinical record systems
  • Comfortable working from own initiative

SALARY AND WORKING HOURS

  • Salary: 19,632 Plus London weighting
  • 35 hours per week
  • Monday - Friday, 9am - 5pm
  • Permanent
  • Home Based and Hampstead hospice but flexible in terms of office/home split
