Job Description

We have an exciting opportunity to work for a government department as a medical administrator, based in Plymouth

*Full time - 37 hours per week, Monday to Friday
*Temporary until March 2023 initially
*£11.01 per hour - paid weekly

Job Purpose:

The principle function of this post is that of co-ordination and to provide full administrative support to all regional HQ Reserve OH Staff.
Interacting with Reserve Units, drafting/producing basic letters and typing documents; taking and producing Minutes of meetings; management of official vehicles; undertaking various roles of responsibility.


1.Administration

a. As Point of Contact for the Region - answering the office phone, dealing with queries within your own area of expertise and taking accurate messages as appropriate for other staff and booking appointments.
b.Collation of documentation; maintain the regional Reserve OH SharePoint site, and update electronic calendar for training events and meetings.
c.To provide general administrative support to the regional OH team which includes photocopying, filing (medical and general), transmit and receipt of faxes and to assist with the receipt, sort and dispatch of mail as required.
d.To help arrange meetings, including the setting up of skype/Teams meetings, producing Agendas, taking and producing Minutes of meetings.
e.To liaise with Reserve Units, Medical Centres and other Agencies as directed

2.Personnel Management

a. To assist the Reserve OH Manager as directed, including maintaining their diary and undertaking research and project work on an ad-hoc basis.
b. Administration of the Locum Management system where appropriate and liaison with the Region`s Authorised Demanders to ensure the safe and effective delivery of occupational healthcare. On behalf of the regions authorised demanders undertake all locum bookings including liaison with the DBS, agencies, Follow up booking requirements to ensure candidates are placed in a timely fashion. Provide SME with CV of candidates and ensure evidence packs are received and tit is recorded on staff database. Collate monthly locum booking returns for HQ. To maintain the staff/training database for Locum staff employed within the Region, updating it with all new details received and issuing reminder letters as necessary.
c.Record the travel and movement request for the Reserve OH Team and other staff within the region, as directed.

3.Information Management

a.Supporting Data Management Officer in all aspects of Information management pertaining to Reserve OH.
b.To maintain contact and distribution lists and ensure they are updated as necessary.
c.To maintain databases and spreadsheets as required.
d.To assist the Information Manager with the administration of the regional Reserve OH SharePoint team site

This role will require clearance so the successful applicant will need to be mindful that this can take several weeks in some cases.
