Full time position: Monday - Friday 37.5 hours £10.29ph
We are inviting expressions of interest for a Secondment/Fixed Term opportunity for a Band 4 Business Support Assistant to work in the Children and Young People Mental Health, Learning Disabilities and Autism Inpatient Services Taskforce (Quality Improvement Taskforce).
As a Business Support Assistant, the post holder will work as part of a dynamic team in delivering an effective service supporting Taskforce. In particular the post holder will provide and coordinate administrative and secretarial services; including for example, the preparation of agendas and notes/action logs taking appropriate follow-up action as required.
- supporting the Business Support Officer and team with the management of projects;
- gathering information and undertaking enquires as and when is necessary for the teams and the department;
Undertaking all appropriate administrative duties.
Management of Taskforce generic inbox to include sorting and prioritising e-mails and distributing as appropriate.
Managing the electronic diary for the department, including arranging and changing appointments, prioritising these as appropriate.
Ensure all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner.
Supporting the organisation and planning of events as directed, providing all necessary supporting in local materials.
Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.
Developing and maintaining effective electronic and paper filing systems (records management systems), to ensure that information is kept securely and is accessible to other members of the team.

Support of Kahootz NHS Futures Platform to include editing and adding material to the Taskforce pages and managing access for stakeholder
Qulaifications:
- Educated to NVQ 4 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
Skills and Experience:
Significant administrative/ secretarial experience including initiating and maintaining office systems.
Demonstrable experience in dealing with the public and dealing with sensitive and confidential information.
Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint.
Understanding of Confidentiality and Data Protection Act.
Knowledge of NHS issues
Good interpersonal skills
Excellent administration and organisation skills
Clear communicator with excellent writing, data entry and presentation skills: capable of constructing and delivering clear information/ instructions to staff and service users
Ability to work at pace in a busy working environment and able to multi-task
