Occupational Health Administrator

Southampton

Part-time (30h per week)

£20k per annum

Are you looking for a part-time role, 30h per week Monday - Thursday (flexible)?

Are you a confident administrator with high attention to detail?

We have a new role in to work for the end client of a leading global provider of facility services. You will be based in Southampton with a leading aerospace engineering business.

This varied and wide-ranging role is to provide comprehensive office management service to the UK Occupational Health Department whilst ensuring the confidentiality of employee's health information at all times. Some limited travel to other sites may be required as part of this role. The candidate will be joining a strong, motivated and supportive UK team, who deliver a highly respected service to the business. The working environment will include providing administrative support to the clinical team as well exposure to medical / safety emergencies and as such, a calm mind in the heat of an incident to deliver what administrative support might be required is needed.

Hours will be flexible, Monday to Thursday, working 30 hours per week.

What will you be doing?

Key Responsibilities will include:

  • Ensure daily routine running of the Occupational Health department, including checking the shared mailbox, checking post, data cleanse activities, filing of notes and other documentary paperwork
  • To effectively manage the department's appointment system and organise own time efficiently.
  • Manage employee appointment systems and overdue episodes, including health screening, doctor's appointments, business travellers, etc
  • Process necessary paperwork on a regular basis, for example, new starters and leavers
  • Preparing medical notes and paperwork for clinics
  • Follow up on outstanding medical reports
  • Typing confidential letters and reports

Who are we looking for?

The role uses administrative, organisational, MSOffice skills and will provide opportunity to develop knowledge / skill in the specialist IT systems in Occupational Health and in some legislative issues when working in people management.

  • PC literate with competency using MS Office with Excel, word and outlook skills at intermediate level
  • Demonstrable administrative and organisational skills
  • Numeracy skills with invoice processing experience desirable, though training is available
  • Attention to detail is of high importance for this role
  • Effective communication skills and confidence to approach all members of staff
  • Demonstrate initiative, self-motivation, self-management
  • Flexible approach
  • Team worker
