Job Description

Overview:
The Office Manager is essential for the successful running of the company as you will be the liaison point between the MD and clients. You will be responsible for overseeing all essential and specialised documentation relating to operational processes within the business including procurement, accreditation and compliance.

Job Duties:
Being chiefly responsible for all administrative tasks within the business.
Taking a leading role in audits and reports including asset management, accreditation, compliance, ISO, tenders and bids, etc.
Ensuring that the company is compliant in accreditation and licensing for all roles within the business; taking a pro-active role in meeting our legal obligations and relevant governing bodies (e.g. SIA licensing).
Work with group Accountant to ensure accurate and timely information.
Review and report overheads each month and accruing costs where necessary, generating monthly / quarterly cash flow reporting and forecasting.
Generate subcontractor purchase orders and payment certificates.
Ensure material requisition / material returns forms are completed by site team.
Monitor efficiency of hired equipment on sites.
Liaise with clients organising labour / materials for maintenance contracts.
Maintain / update supply chain and company records - health / safety and insurance details including company procedures.
Maintain / update company training matrix for all employees.
Review and report overheads each month and accruing costs where necessary, generating monthly / quarterly cash flow reporting and forecasting.
Support the Director as required, for any accounting adjustments / ad hoc analysis work.
Monitor annual leave entitlements and maintain accurate records.
Maintain up to date records for fleet vehicle's maintenance, insurance, breakdown cover.
