Job Description

Brook Street Edinburgh are recruiting on behalf of our esteemed client who are an international Engineering Consultancy operating in 23 locations worldwide with for over 40 years.

We're looking for an all-rounder to support a thriving Edinburgh office to work on a 4-week contract starting on Wednesday 15th January until Monday 17th February 2020.

Working amongst a team of dedicated, enthusiastic and creative professionals, this role will see you supporting the Edinburgh teams in several ways.

You will have specific responsibility for the front of house activities - ensuring that calls are handled professionally, visitors made feel welcome and meeting rooms are kept well maintained.

In addition, you will be working alongside a team of administrators and office manager, supporting with administration, managing post room tasks and undertaking small admin projects such as project archiving. Utilising exceptional communication skills, you will confidently get things done and always anticipate what the teams require next. Creativity and great people skills will serve you well, in this wide-ranging and engaging position.

Daily tasks include

" Create and maintain a welcoming, tidy and professional front of house environment always
" Welcoming guests and contractors to site; making sure they feel welcomed and attended to, and ensuring they adhere to the signing in procedures
" Answering calls in a timely and professional manner, including taking messages and dealing with ad hoc queries/issues.
" Ensuring the front of house, meeting and shared areas are kept clean and tidy; liaising with the facilities team to report any issues and coordinating maintenance contractors as needed
" Booking travel and supporting with travel planning
" General administration support from photocopying and scanning papers to typing, formatting and modifying documents, reports, correspondence and spreadsheets
" Keeping our teams safe by maintaining accurate H&S records and reminding about renewals and courses
" Managing incoming and outgoing post, parcels and couriers
" Maintaining front of house stock levels and ordering supplies as necessary

What will I bring to the role?

" Welcoming and professional manner, confident in your people skills both face to face and via phone
" Proactive approach with an enthusiasm to connect with our teams and their work
" Good computer and IT skills including; Word, Outlook and Excel. Experience with switchboard software such as Lync would be advantageous
" A solid foundation of office experience and a proactive approach to your work
