Job Description

Personal Assistant - NHS England

Location: Leeds

Salary: £11.76 rising to £12.74 after 12 weeks

Duration: Temporary contract but potential to be reviewed for extension

As a Personal Assistant, the post holder will work as part of a dynamic team delivering an effective service supporting managers and staff across the Nursing and Midwifery team to provide a high level, professional and confidential Personal Assistant service to the Deputy Chief Nursing Officer (DCNO) - Professional & System Leadership

Role Overview

  • Provide a high level, professional and confidential Personal Assistant service to the DCNO, covering all aspects of secretarial, administrative and organisational support.
  • Provide high quality project, service, initiative and administrative support including information and analysis.
  • Undertake reporting and analysis of information to support delivery
  • To be responsible for managing and maintaining the smooth running of the DCNOs diary using independent judgment to prioritise work schedules
  • To ensure that incoming mail is dealt with or appropriately redirected information
  • To plan and timetable preparatory work for meetings and to provide the necessary documentation.
  • To arrange meetings including room bookings, the preparation and circulation of agendas and taking minutes as required.
  • To ensure timely processing of the DCNOs expenses, in line with published deadlines and adhering to NHS England's Business Travel and Expenses Policy.
  • To act as a filter for all incoming calls, using initiative on issues which can be dealt with personally and where appropriate redirecting to other senior staff, proactively seeking information and passing on as necessary.
  • To prepare letters, memos and other papers from brief notes on minimal instructions.
  • To prepare reports, agendas, minutes, statistics and other similar documents using typing skills and a variety of software packages.
  • To support handling travel and accommodation bookings and providing information and copies of documentation as requested.

Skills and experience:

  • Significant previous experience in a senior administrative role or as a PA at Director level.
  • Advanced knowledge of Microsoft Office software applications (Word, Excel, PowerPoint, Outlook etc).
  • Excellent secretarial skills, including ability to construct clear, grammatically correct letters and reports.
  • Experience taking Meeting Minutes
  • Ability to work without supervision. Able to work on own initiative, organising and prioritising own and others workloads to changing and often tight deadlines.
  • Excellent time management skills with the ability to re-prioritise.
  • Ability to deal with challenging conversations in a tactful yet assertive manner.
  • Demonstrated ability to work independently and in a team environment.
  • Highly developed organisational skills with exceptional attention to detail.
