We are looking for an enthusiastic candidate, with excellent communication skills, word processing skills, the ability to work independently and who will provide support to the team with a variety of duties.
In particular the post holder will provide and coordinate administrative and secretarial services; including for example, the preparation of agendas and minutes, taking appropriate follow-up action as required. Supporting the team with the management of projects, gathering information and undertaking enquires as and when is necessary for the head of department, teams and the department.
Key Job specifics and responsibilities
Manage the diaries and associated arrangements of senior managers and directors.
- Manage meeting arrangements including the taking and distribution of minutes, prepare board packs, collate and issue data ahead of meetings, follow up on meeting actions, record and store correspondence in line with SOP - Standard Operating Procedures
- Provide and support managers with a wide range of administrative and computer skills as well as maintaining a range of knowledge and understanding of procedures, protocols and functions· Provide and receive complex information which may contain contentious and sensitive information of other organisations, senior professionals and individuals
- Communicating and engaging with external and internal stakeholders which may require negotiation skills and understanding the needs/requirements and
- Act as first point of contact to area of work for a wide range of stakeholders
