Job Description

The Ministry of Justice - PA/Secretary
Location: Leeds City Centre
Hours: Monday - Friday (37 hours)
Pay: £9.51 increasing to £10.75 after 12 weeks


This is a 6-month contracted role with the possibility of a further extension at the discretion of the business requirements.

Role Overview:
We are currently recruiting for a PA to join an exciting and hardworking team with our client, The Ministry of Justice based in Leeds City Centre. The role will include working with two Deputy Director's (DD's) carrying out general PA duties for them. This site supports some of the most innovative commercial work in government and the Commercial and Contract Management Directorate's (CCMD). Work is crucial to the successful delivery of the £1.3bn prison reform and £700m court reform programmes.


Responsibilities include:
- Managing the DD's e-mails and diary, making sure that any scheduling conflicts are resolved immediately.
- Prioritising workloads to support the DD's needs
- Making sure the DD is fully briefed and has relevant documents in advance of all meetings
- Arranging meetings and leading on logistics for meetings, including room bookings and invitations, circulation and filing of minutes and paperwork
- Managing all travel bookings
- Accompanying the DD's to meetings to take minutes, action points and follow up any actions as and when required
- Directing and assigning work appropriately including commissioning action such as drafting, updates and briefings
- Work with other PA's and Business Managers within CCMD to provide efficient support to the Senior Management Team

What we are looking for:
- Experience working as a diary secretary would be an advantage
- Strong interpersonal, communication and team working skills
- Good IT skills (i.e. the ability to work confidently in Word, Excel and Outlook)
- Great enthusiasm, energy and can work under own initiative
- Be flexible and adaptable in a demanding environment
- Ability to engage with a wide range of internal and external stakeholders at all levels
