The role is to provide support to the EVP Human Resources, General Counsel & Company Secretary and EVP Business Development, and their teams.
Duties will include:
Diary Management, setting up of meetings, room bookings, meeting preparation (e.g. distribution of agenda's, minutes etc.)
Travel booking (Flights, Hotels, Cars, Visas etc), detailed travel management and travel schedules
Answering of reception phone (shared with another PA)
Document management (process for logging signed agreements)
Claims monitoring as directed by General Counsel
Create/amend/update presentations, documents and reports (powerpoint, excel, word)
Assist with meeting room booking /set up/ensuring neat and tidy at all times
Assist with conference / lunch arrangements
Co-ordinate the reviewal of policies/guidance documents on intranet (annually)
Ad-hoc assistance with miscellaneous projects including presentation preparation, co-ordination of events, attend meetings and take ownership of projects and initiative
Assist with co-ordination of Charity activities / events
Assist HR team with admin requirements
You must have advanced MS Office (Outlook, Word, Excel, PowerPoint) and a high standard and range of administration skills.
It is vital that you have excellent communication skills and high level of initiative, be
confident, highly organised and ambitious with the ability to build and maintain constructive relationships with a variety of different individuals at all levels of seniority
Self-management and excellent organisation skills with the ability to prioritise work calmly and effectively in a pressurised environment
Must be able to work as team player and on own initiative with minimum supervision
The role will require you to liaise and communicate across senior management and be involved in ad-hoc projects across all areas of the group, previous PA experience and senior level necessary and educated to degree level or equivalent.
