Job Description

Brook Street are recruiting for a Personal Assistant to work for one of our well established public sector organisations. If successful, duties include:

-Provide high level confidential secretarial and administrative support service to the Executive Team.
-Facilitate and track requests for information on behalf of the Directors and where appropriate collate and present information.
-Track actions on behalf of the Directors with attention to any deadlines/requests for information.
-Manage and maintain a diary of meetings and commitments, minimising travel tie, and maximising work time for the Directors.
-Ensure Directors have necessary documentation in advance of scheduled meetings allowing sufficient time to prepare.
-Make appropriate travel and accommodation arrangements in line with guidelines.
-Arrange internal and external meetings/events. Ensuring requisite facilities are available.
-Provide secretarial support to meetings as requested including the preparation of agendas, collation of papers, minute taking and follow up actions.
-In conjunction with the Communications Team, track responses to correspondence, commissioning information if required, to ensure timely responses to external and internal contacts.
-Ensure the provision and timely maintenance of information storage and retrieval systems, both electronic and paper based, having particular regard to security and confidentiality.
-Assist in developing effective and positive relationships with key internal and external stakeholders and organisations
-Process Director expense claims and submit details onto the Single Operating Platform, ensuring amounts claimed are within published guidelines.

The successful candidate will demonstrate:
-Relevant and recent experience in a secretarial/PA role or equivalent transferable skills.
-Administration experience at a senior level.
-Excellent organisation skills and the ability to prioritise own workload as well as working to deadlines and targets.
-Advanced IT skills (Microsoft Office).

This is a full time, temporary position, initially until the end of March 2021, with potential for extension. The role is Monday to Friday, ideal office hours and due to covid-19 the role will be working from home.
