Job Description

Our client based in Borehamwood is looking for a PA to the Executive Director for a period of 3 months. To provide confidential, personal administrative support including answering telephone enquiries, diary management, arrangement of meetings, prioritising and answering routine correspondence and e-mails as directed.

MAIN PURPOSE OF THE JOB:

  • Provide a service to the Executive Director. Work as part of a team with the Personal Assistant to the Managing Director to provide cover and to ensure that the Executive Director and the Managing Director have PA support at all times.
  • To support the Director by providing a full range of PA services, to include liaising with senior management, staff and Councillors, external agencies, including government departments and the public. To manage the diary, emails and assist with projects.
  • To be proactive, anticipate needs and able to deal calmly with critical or emergency situations.
  • To provide expertise on all office related systems including telephones.


MAIN DUTIES:

  • Provision of a full range of services, including sending and responding to e mails, arranging and organising diary appointments, and monitoring the progress of responses and actions arising. Assisting visitors to the Executive Suite, including arranging appointments, collating all necessary papers required by the Directors and arranging for refreshments to be provided as requested or required.
  • Paying invoices using the relevant systems. Making payments with the procurement card and reconciling the card statements.
  • Draft correspondence on sensitive and confidential matters. Follow-up action on complaints and respond as required.
  • Provide comprehensive administrative support to both Chief Officers.


The Person:

  • Substantial administration experience in a complex business organisation.
  • Experience in working with senior management.
  • Excellent interpersonal skills Takes a customer service approach to service delivery
  • Strives continuously to exceed customer's expectation
  • Able to deal with difficult customers


Skills:

  • Able to use Microsoft Office, Excel and PowerPoint to a good standard
  • Able to quickly grasp the use of specialised computer packages on all office systems including telephones.
  • Able to produce well laid out and accurate documents, ideally with a typing speed of at least 60 wpm.
