We're recruiting for an experienced Patient Administration Officer to join a busy, professional and customer-focused organisation in Windsor. As a key member of the administration team, you'll be responsible for coordinating appointments, managing referrals, maintaining accurate records and ensuring every individual receives a seamless and professional service from their initial enquiry through to the completion of their journey.
This is a 4+ week temporary contract with the possibility to be extended.
Key Responsibilities
Your day-to-day duties will include:
- Acting as the first point of contact for customers and visitors, providing a welcoming, professional, and efficient service both in person and over the telephone.
- Contacting newly referred individuals promptly to arrange appointments and provide all relevant information.
- Managing referrals from receipt through to completion, ensuring all information is processed accurately and within agreed timescales.
- Booking, amending, and coordinating appointments while effectively managing multiple diaries and schedules.
- Building strong working relationships with internal departments and external contacts to ensure a smooth and efficient process.
- Providing clear and accurate information regarding appointments, services and next steps.
- Maintaining accurate electronic records, ensuring all information is updated promptly and handled confidentially.
- Managing reception duties, including greeting visitors, answering telephone enquiries and responding to email correspondence.
- Resolving queries and escalating issues where appropriate to ensure a positive customer experience.
- Coordinating additional support services where required to enhance the overall customer journey.
- Ensuring all administrative processes are completed in line with company procedures and data protection requirements.
- Providing support across the wider administration team and assisting with the induction and training of new colleagues where required.
What We're Looking For
We're looking for someone who is organised, customer-focused and able to work efficiently in a busy environment.
You'll ideally have:
- Previous experience in an administrative, reception or customer service position.
- Excellent organisational skills with the ability to manage multiple tasks and changing priorities.
- Strong communication skills with a professional and confident telephone manner.
- A friendly, approachable, and empathetic attitude when dealing with customers and colleagues.
- Experience managing appointments, bookings, or diary coordination.
- The ability to build positive working relationships across different teams.
- Excellent attention to detail and a high level of accuracy when handling confidential information.
- Confidence using Microsoft Office, including Outlook, Word and Excel.
- Experience using electronic scheduling or database systems would be advantageous.
- A proactive, flexible approach with the ability to work independently as well as part of a team.
- Strong problem-solving skills and the confidence to handle queries in a calm and professional manner.
Working Hours: Monday-Friday, 9:00am-17:00pm
Pay Rate: £13.35p/h (Weekly Paid)
